The questions every CFO asks before signing a copier lease

How much does a commercial copier lease cost?

Desktop A4 multifunction copiers start at $79/month on a 60-month FMV lease. Mid-volume A3 color floor MFPs typically run $169 to $289/month. Production color presses run $1,200 to $4,800/month depending on speed and finishing.

What's the difference between an FMV lease and a $1-buyout lease?

FMV (Fair Market Value) is a true operating lease: monthly payments are lower because you don't own the copier at the end. You can return it, upgrade, or buy at fair market value (typically 10-15% of original).

$1-buyout is a capital lease: payments are 18-24% higher but you own the equipment at the end for $1. Most clients pick FMV because copier technology refreshes every 4-5 years anyway, and FMV keeps the upgrade door open.

What's included beyond the copier itself?

Every lease includes free professional delivery and installation, network setup (printer drivers, scan-to-email, scan-to-folder), a service agreement covering all parts and labor, on-site technician dispatch with same-day or next-day response, all consumables except paper (toner, drums, fusers, developers), and end-user training.

The only ongoing variable cost is the per-page click charge, typically $0.008 for B&W and $0.04 to $0.06 for color.

How fast is your response time when something breaks?

Same-day on-site for major metros (Orlando, Tampa, Miami, Atlanta, Dallas, Houston, Chicago, NYC, LA, Phoenix). Next business day everywhere else. Average actual response time across our service area is 2.7 hours.

Most issues — paper jams, error codes, scan setup, driver problems — are resolved remotely in under 30 minutes by our help desk before a technician is even dispatched.

Can you take over my existing lease early?

Yes, in most cases. We negotiate buyouts directly with your current lessor — Wells Fargo, US Bank, GreatAmerica, DLL, CIT — and roll the buyout into your new lease so you don't pay anything out of pocket.

We've done thousands of these. Send us your current lease number and the seller name and we'll quote you the cutover within 24 hours. About 60% of new clients come to us mid-lease.

Should I lease or buy a commercial copier?

Lease for almost every business case. Three reasons:

Cash flow — leasing preserves working capital. Payments are 100% tax-deductible operating expenses (Section 179 limits don't apply).

Tech refresh — A3 color copier technology improves measurably every 4-5 years. Leasing means you upgrade automatically without selling old equipment.

Service bundling — leases include all maintenance, supplies and dispatch in one predictable monthly bill. Buying requires a separate service contract that often costs more long-term.

Buy only if you have a one-machine office and plan to keep it 7+ years.

Do you support all 50 states?

Yes. We have on-site technicians and dispatched service in 100+ metros and a national logistics network for delivery and installation everywhere else.

Florida, Georgia, Tennessee, North Carolina, South Carolina, Texas, Illinois, New York, California, Washington, Colorado, Arizona, Massachusetts, Pennsylvania, Ohio, and Michigan are our densest coverage areas. Outside those, we partner with vetted regional service providers — same SLA, same single contract.

Can I see the copier in person before I commit?

Yes. We do free in-person demos at our Orlando, Tampa, Miami, Atlanta, Dallas, and Chicago showrooms.

For other cities, we'll bring a unit to your office or send you a 30-day trial machine. We also do free print samples — send us a PDF of your typical document and we'll print it on the recommended machine and ship the output to you so you can compare quality side-by-side.

What happens at end of lease?

You have three options:

Upgrade — we install the new copier and pick up the old one, often with the same monthly payment.
Continue — extend the existing lease month-to-month at a reduced rate while you decide.
Return — we coordinate the pickup with the leasing company.

We send you a written reminder 90 days before lease-end so nothing auto-renews you into another full term, which is the #1 mistake clients make with their previous vendor.

Do you sell or service used / refurbished copiers?

Yes, certified pre-owned (CPO) is a real option, especially for small offices and seasonal businesses. CPO copiers come with the same parts and labor service agreement as new units, are typically 30-45% less per month, and are tested to OEM specs.

Best fit: under 5,000 monthly impressions, B&W or low-color need.

We don't recommend CPO for high-volume color or production environments — the consumables economics don't work in your favor at that scale.

How long does it take to get a copier installed?

Standard models in stock ship same-week. Custom configurations (specific finisher, large-format trays, specific paper handling) typically 7-12 business days. Production presses can be 3-4 weeks for delivery plus 1-2 days for install and calibration.

We confirm the install date in writing the day you sign and send a 24-hour confirmation the day before. Most installs complete in 2-4 hours including network setup and end-user training.
