About 1-800 Office Solutions

Keeping offices running since before the fax machine was obsolete.

We're a family of engineers, technicians, and account managers who care a lot about a fairly unglamorous thing: making sure the copier works, the printers have toner, the phones ring, and nobody's network goes down at 3pm on a Tuesday.

We started in 1986 in South Florida with one copier, a truck, and a phone number that spelled out a promise: 1-800 Office Solutions. Forty years later the phone number still works, and so does the promise.

What we do is boring on paper. Copiers, printers, toner, document scanning, phone systems, networks, firewalls, backups, the occasional "can you get into my email again, I locked myself out." What we've figured out over four decades is that doing the boring things consistently well is rare.

We don't have a favorite manufacturer. We'll happily tell you which one is wrong for your office, and why.

We carry Canon, Ricoh, Xerox, HP, Konica Minolta, Kyocera, Sharp, Lexmark, Toshiba, and Brother. That's not a marketing statement, it's how we stay honest: when the rebate isn't the reason, the right machine is easier to pick. It's a weirdly controversial thing to say in our industry, and we're fine with that.

Here's the part we want to be straight about: when you call, an assistant answers first to route you. It's fast, polite, and doesn't waste your time with a phone tree. A person picks up the thread the same day, usually the same hour. When you email, a person reads it. When you use the form, it lands in a real inbox. No black holes.

Four decades, one phone number.

The story of the company, in eight moments. No mergers. No rebrands. No venture-capital roll-ups. Just a business that kept saying yes to what customers asked for next.

  1. 1986
Founded in South Florida. One copier, one technician, one phone line. The name was the promise: a memorable number you'd call when the office machine stopped working.
  2. 1994
First authorized dealer agreements. Canon and Ricoh came on board. We stopped being a reseller and started being a service company. It's a bigger difference than it sounds.
  3. 2001
Managed Print Services launched. Before most of the industry used the term. One per-page bill, one number to call, fewer headaches for facilities managers who were tired of fleet chaos.
  4. 2008
IT Services added. Customers kept asking us to look at the network while we were already on-site for the copier. Eventually we hired the right people and made it official.
  5. 2014
Expanded beyond Florida. Local service in Michigan, Georgia, North Carolina, and Pennsylvania. Same culture, same standards, more zip codes.
  6. 2019
Cybersecurity practice formed. The ransomware wave made it clear offices needed a partner who could actually defend them, not just sell antivirus and walk away.
  7. 2022
VoIP and cloud phone systems. The last piece. One partner for copiers, print, IT, security, and phones. One invoice, one account manager, one place the buck stops.
  8. Today
Still independent. Still family-operated. Same phone number. Same people, mostly. Still answering when you call.

Five opinions we hold strongly.

These are the rules we run the shop by. They're not always popular with the rest of the industry. That's part of the point.

01

Brand-neutral beats brand-loyal.

Ten OEMs on our roster. We'll tell you when a Canon is the wrong fit, or when the Xerox you've been sold is overkill. The right machine is the one that fits your volume, your workflows, and your office, not the one with the fattest dealer rebate this quarter.

02

One account manager, forever.

You're not going to call a queue and explain your setup to a new person every time. The person who sold you the copier is the same person who answers when you need another one three years later. No quarterly reassignments, no warm handoffs to someone who's never seen your office.

03

Fix the root cause, not the ticket.

If your printer jams twice a month, replacing the rollers is the easy fix. The real question is whether the paper is wrong, the humidity is off, or the machine is too small for your volume. We'd rather lose the service call and solve the actual problem.

04

Transparent pricing or nothing.

No surprise overages. No "we'll have to check with the manufacturer" stalling. Per-page rate, per-month rate, what's included, what isn't. In writing. Before you sign. We've read the other guy's contract too and we know what to look for.

05

The boring work is the whole job.

Toner deliveries before you run out. Patches on the Tuesday before the Wednesday ransomware campaign. A technician physically on-site within hours, not days. That's the product. Everything else is marketing.

Offices that can't afford to go down.

Our customers share one thing: a copier jam or a network outage costs them real money and real trust. These are the people who call us most.

Legal

Law firms

High-volume color, scan-to-DMS workflows, locked-down audit trails, confidential document handling. We know what "conflict check" means and why the scanner can't drop a PDF into the wrong matter folder.

Healthcare

Medical & dental practices

HIPAA-grade device hardening, secure release print, locked trays, encrypted storage, and copier hard-drive wipe on lease return. The stuff the last vendor promised and never got to.

Education

Schools & districts

Cost-per-page that fits inside an annual budget, classroom-grade durability, and the kind of deployment that doesn't leave forty teachers locked out of printing on the first day of school.

Nonprofit

Nonprofits & churches

Grant-friendly pricing, tax-exempt documentation handled correctly, and the patience to walk a volunteer board through the lease every three years. We've done it before, we'll do it again.

AEC

Architecture & engineering

Wide-format plotting, oversized media, CAD workflow scanning, PDF-to-print color accuracy. Machines that handle vellum without chewing it. Service techs who know what a 36-inch bond roll is.

Multi-site

Multi-location SMBs

One contract across all your offices. One invoice. One number to call whether the problem's at Orlando HQ or the satellite in Charlotte. Local techs in both cities. That's the whole reason to pick a national partner.

Orlando HQ. Technicians in 100+ metros.

Same-day service across Florida. Next-business-day almost everywhere else. Remote support within the hour, 24/7.
