What drives the price of a copier lease

1. How much you print

Volume decides the size of machine you need and the size of your service bill. Most service plans include a block of pages each month and charge a set rate for every page over that. Other brands and older machines can cost more per page, so get the rate in writing.

A quick example: an office printing 3,000 black-and-white pages a month at $0.008 a page pays about $24 a month for those pages. Add 500 color pages at $0.055 and that is another $27.50. Both sit on top of the lease payment.

2. Color or black and white

Color costs more twice: the lease payment is higher, and every color page costs several times a black-and-white page. If color is only for the occasional flyer, a black-and-white copier plus a small color printer can cost less than one color copier. If your team prints color daily, one color machine is simpler.

3. A3 or A4

A4 machines are desktop size and handle letter and legal paper. A3 machines stand on the floor and also print 11×17, which law firms, architects, schools and anyone printing wide spreadsheets tend to need. A3 machines are also built for heavier monthly volume, which is why the starting price moves from $79 to $119 for black and white.

A simple test: if no one in your office printed 11×17 in the last year, an A4 machine is probably enough.

4. Service, toner and the lease terms

Some quotes fold service and toner into the monthly price; others list a separate service agreement. Know which one you are looking at before you compare.

The lease structure matters too. A fair market value (FMV) lease has a lower payment, and at the end you return, renew or buy the machine at its market value. A $1 buyout lease costs more each month, and you own the machine at the end. As a rough guide, a 60-month FMV lease works out to about $19 to $23 a month for every $1,000 of equipment price. Shorter terms raise the monthly payment.

Georgia costs that show up on the bill

Three costs rarely appear in an advertised price:

  • Sales tax. Georgia treats an equipment lease as a sale, so each lease payment is taxed at the 4% state rate plus the local rate where the machine sits. The combined rate depends on your county and city, so check the rate for your address on the Georgia Department of Revenue website.
  • Business personal property tax. Georgia taxes business equipment yearly (returns are due April 1), and leasing companies often pass this tax through to the customer. Ask how your quote handles it.
  • Delivery, setup and the end of the lease. Ask whether delivery, installation and network setup are included, and who pays to pack and ship the machine back when the lease ends.
